PROTOCOL from the REGISTRATION OF THE SUBJECT OF THE DOCTORAL THESIS UNTIL THE PRESENTATION OF THE DOCTORAL THESIS



1. INFORMATION

This protocol explains the rules and procedures from the registration of the subject of the doctoral thesis within the study of Textile Science and Technology of the Faculty of Textile Technology of the University of Zagreb. The Doctoral Study Council of the Textile Science and Technology study consists of: dean, head of the Scientific Research Center for Textile, vice dean for scientific research, vice dean for teaching, vice dean for international interfaculty cooperation, vice dean for management, head of the doctoral study, deputy head of the doctoral study, prominent tenured professor, representative of the doctoral students and head of the student services. The Doctoral Study Council is in charge of monitoring the implementation of the program of the doctoral study pursuant to the University Ordinance on Doctoral Studies and Ordinance on Doctoral Study of the Faculty of Textile Technology, which entails:

  • proposes the publication of a public tender, performs interviews and reviews the tender documentation, an integral part of which is the motivational letter with clear reasoning, aims and suggested guidelines of scientific research, and approves the enrollment of doctoral students to the doctoral study of Textile Science and Technology,
  • organizes classes,
  • approve and forwards the forms (DR SC - 01 and DR SC - 02) FV,
  • collects forms DR. SC. - 04 and DR. SC. - 05 and tracks the improvement of doctoral students,
  • verifies and approves the project assignments,
  • considers and proposes the commission for evaluation of the subject of the doctoral thesis,
  • considers the grade of the doctoral thesis and proposes its acceptance to the Council of the Faculty,
  • considers and proposes the commission for the presentation of the doctoral thesis,
  • supervises the work of the mentor (appendix 1) through continuous checking of competencies and points out the obligations related to the doctoral student (appendix 2),
  • resolves requests,
  • holds individual and collective meetings with mentors and doctoral students,
  • conducts individual interviews with mentors and doctoral students, encourages better study dynamics, registrations of doctoral thesis subjects and provides conditions for successful completion of studies, including intensive collaboration and assistance with doctoral students who are in the final stage of the research,
  • follows the course of research through preliminary exams and the public presentation of research work as part of the Day of Doctoral Students,
  • establishes and controls the co-operation of doctoral and student services,
  • conducts annual surveys among doctoral students,
  • selects candidates for the annual dean's award for the doctoral student most successful in scientific research
  • announces a scholarship grant and selects the best candidate,
  • refers the doctoral students to workshops, courses and summer schools
  • promotes the development of generic and transfer skills of doctoral students
  • promotes the doctoral study,
  • encourages mentors to attend a mentoring workshop before assuming the first mentorship.

2. REGISTERING THE SUBJECT OF THE DOCTORAL THESIS

DR. SC. – 01 form

During registration, the doctoral student also submits the Statement on the Type of Study or Length of Study (part-time or full-time).
By concluding the contract with the Faculty of Textile Technology, the doctoral student obliges to settle his obligations in a timely manner.
Depending on the affinities and/or direction of research, the doctoral student is assigned a study advisor / mentor who will help him and direct him during the drafting of the doctoral thesis and all other obligations during the study.
The workload includes attending classes and taking examinations and acquiring the ECTS credits, whereby the condition for enrolling to the 3rd semester is obtaining 12 ECTS credits while obtaining 32 ECTS credits is the condition for enrolling to the 5th semester. The doctoral candidate is obliged to prepare the DR.SC. – 01 by enrolment to the 5th semester in cooperation with the mentor.
The examples of good practice in filling out the form and shaping the expected scientific contribution of the doctoral thesis can be found on the website. The doctoral student submits the copy of the student’s transcript as proof that he/she fulfilled the requirements for registering the doctoral thesis and the right to enroll in the 5th semester. After all members of the Commission obtained, reviewed and approved the filled out DR. SC. – 01 form, the doctoral candidate submits the filled out DR. SC. – 01 form signed by the mentor (see competencies and obligations of the mentor annex 1) and doctoral student (see obligations and rights of the doctoral student, annex 2) to the Doctoral Study Council in electronic form. In the explanation annexed to the form DR. SC. - 01, the mentor and doctoral student propose the members of the Commission (OB-77/1). The Commission for evaluation of the subject and suggestion of a mentor consists of 3 or 5 members, of which at least one member is not a teacher at this study or employed by the Faculty (pursuant to the Ordinance on the Doctoral Study). The field of their activity, CV and competencies (at least 5 papers covering the subject of the doctoral thesis published in last 5 years, of which at least one was published in a magazine indexed in the Web of Science database) are stated. The Commission for evaluation of the subject and suggestion of a mentor assesses the possibility of an original scientific or artistic contribution and financial and organizational feasibility of research and suggests the mentor. The suggested mentor cannot be named the president of the Commission. If the doctoral thesis is written in English, the forms must be completed in Croatian and English.

In the case of dual mentoring, if the mentor is not an employee of the University of Zagreb, the consent of his institution is required.

After reviewing the DR. SC. – 01 form, explanation of the proposed members of the Commission and other materials (for example, the plan of work), the Doctoral Study Council of the Textile Science and Technology reviews the materials in the presence of the study advisor / mentor. The DSC addresses the suggestions that it might have to the mentor and to the doctoral student and after the harmonization forwards them to the Council of the Faculty, no later than 10 days before the session. The finalized copy of the form is placed in the OBAD online database of doctoral students (http://doktorski.unizg.hr/obad), as a precondition for further proceedings, prior to the public presentation on the expected original scientific contribution of the doctoral thesis.

Public presentation of the expected original scientific contribution of the doctoral thesis within 3 months from the acceptance of the DR. SC. - 01 form and members of the Commission by the Council of the Faculty. The notice is placed on the website of the Faculty at least 7 days prior to the presentation, whereby it is important to have the approval of the Doctoral Study Council of the Textile Science and Technology (OB-79/0) and the decision of the Council of the Faculty on acceptance of the DR. SC. – 01 form.
According to the Protocol (OB-80/0) the president of the Commission conducts the protocol on the public presentation of the expected original scientific contribution of the doctoral thesis, fills out the Minutes, which are signed after the completion of the public presentation by all members (OB-81/0).

3. ACCEPTING THE SUBJECT OF THE DOCTORAL THESIS

DR. SC. – 02 form

  1. by the DSC of Textile Science and Technology and the Council of the Faculty

After the public presentation of the expected scientific contribution, all members of the Commission fill out the DR. SC. – 02 form, which contains the usual information on the course of the presentation of the proposed subject and assessment of the subject i.e. the opinion of the members of the Commission for evaluation of the subject and suggestion of the mentor on the proposed subject. The members of the Commission provide an overview of the original scientific contribution and assessment of the feasibility of the proposed subject. It is necessary to emphasize the adopted remarks of the Commission (if there were any) and proposed changes performed relative to the DR. SC. – 01 form.
The president of the Commission must deliver 5 copies of the filled out and signed DR. SC. – 02 form to the student services within 7 days.
The mentor and doctoral candidate forward the DR. SC. – 02 form reviewed and approved by the Commission and DSC to the next session of the Council of the Faculty.

Obrazac DR. SC. - 03

  1. by the Senate of the University

The student service collects DR. SC. - 01, DR. SC. – 02 forms and Minutes from the public presentation on the expected original contribution of the doctoral thesis, on the basis of which it fills out DR. SC. – 03 form. The consolidated forms are sent to the Commission for Postgraduate Programs and Doctoral Theses of the University of Zagreb, where they are reviewed and forwarded to the Council of the Technical Field and Senate of the University of Zagreb.
If the candidate obtained the approval for writing the doctoral thesis in English, all forms must be filled out both in Croatian and in English.
The decision of the Senate on accepting the subject of the doctoral thesis is obtained by the candidate and mentor, who is obliged to deliver one copy of the Decision to the DSC of the Textile Science and Technology and student services for postgraduate study.
During the approval of the subject by the Senate, the doctoral student may be enrolled to 3rd year of the studies if he/she fulfilled all requirements (obtained ECTS credits from the first and second year of study and settled obligations from the study contract).

4. SUBMITTING THE DOCTORAL THESIS FOR GRADING

After prior consultations with the mentor, the doctoral candidate submits to the student service the following:

  • Copy of the student’s transcript showing that the necessary ECTS credits have been achieved, 30 ECTS – courses + 18 ECTS – project assignments, which makes the total of 48 ECTS credits.
  • Certificate on settling of all contractual obligations.
  • Copy of the works that achieved the total of 62 ECTS credits, wherein the doctoral student is the co-author of at least one original scientific research paper (up to 3 authors including the mentor) published or accepted for publishing in a magazine from the Web of Science citation database.
  • Proposal of the Commission for grading and presenting the doctoral thesis with the signature of the mentor. The mentor cannot be the president of the Commission, but he/she can be a member of the Commission. The Commission consists of 3 or 5 members. The members of the Commission for grading of the doctoral thesis must be appointed at least to the scientific or artistic teaching position of docent or position of scientific associate, or the equivalent position if the member obtained abroad.
  • Registered copies of the unbound doctoral thesis made pursuant to DR.SC.- 08 for each member of the Commission.
  • Registered written consent and opinion of the mentor on the performed research and original scientific contribution of the doctoral thesis (OB-94/0).
    If the mentor did not issue the written consent, he must explain his/her reasons for this within 15 days from the receipt of the notice in written form.
    In both cases, the mentor’s explanation and, if necessary, the DR. SC.– 04 and DR. SC. – 05 forms are delivered to the members of the Commission for grading of the doctoral thesis who take this into account during the grading.

The Council of the Faculty appoints the Commission for grading and presentation of the doctoral thesis.

5. GRADING OF THE DOCTORAL THESIS

Upon receipt of the Decision on the naming of the Commission for grading and presentation of the doctoral thesis, the student service delivers within 3 working days:

  • To each member of the Commission, the Decision of the Council of the Faculty on appointment for grading of the doctoral thesis,
  • To the doctoral candidate, the Decision of the Council of the Faculty on appointment for the grading of the doctoral thesis,
  • To head of the DSC of the Textile Science and Technology the Decision of the Council of the Faculty on appointment for the grading of the doctoral thesis,
  • To each member of the Commission, the registered copy of the doctoral thesis,
  • To each member of the Commission, the registered form (OB-94/0).

The Commission for grading of the doctoral thesis is obliged to submit a written report with the grade of the doctoral thesis (DR.SC.-10) within three months from its appointment, not counting the non-working days.
Within the scope of the report on the grading of the doctoral thesis (DR-SC.-10), the members of the Commission for presentation of the doctoral thesis provide an overview of the hypotheses and goals from the registration of the subject of doctoral research (DR.SC.-01), and determine whether the accepted hypotheses are confirmed and whether the expected scientific contributions foreseen during the registration of the subject of the doctoral thesis have been fulfilled.
The president of the Commission prepares the report on the basis of obtained opinions of the members of the Commission, which is signed by all members of the Commission. Each member of the Commission may submit a separate grade. The Commission for grading of the doctoral thesis in its report proposes:

  1. adoption of the doctoral thesis with an explicit statement on achieved original scientific contribution, or
  2. further work on the doctoral thesis and final grading, or
  3. rejection of the doctoral thesis, after which the doctoral student loses the right to obtain the Ph.D. title in this study program
The explanation is a necessary part of the report.
At its next session, the Council of the Faculty reaches the decision on the grading of the doctoral thesis and names the Commission for the presentation of the thesis.

6. PRESENTATION OF THE DOCTORAL THESIS

The doctoral student may present the doctoral thesis after the Council of the Faculty accepts the positive grade of the Commission for grading of the doctoral thesis, at latest within two months. The Commission for the presentation of the doctoral thesis may have the same composition as the Commission for grading of the doctoral thesis. The mentor may participate in the procedure of presentation of the doctoral thesis as a member of the Commission but may not serve as the president of the Commission. The presentation of the doctoral thesis is organized by the candidate. After reaching an agreement with the members of the Commission, the candidate sends the notice on presentation (annex 4) to the head of the DSC of the Textile Science and Technology, so that it can be placed on the website of the Faculty at least 8 days before the presentation.

The president of the Commission for the presentation of the doctoral thesis conducts the procedure of public presentation of the doctoral thesis (OB-82/0). After the presentation, the Commission issues a grade (pursuant to the instructions of the Committee for Doctoral Programs of the University of Zagreb of 23 January 2018), namely:

  • for exceptionally excellent works (for example, scientific discoveries, new theories, new scientific methods, important patent, etc.), the summa cum laude grade,
  • for great works the grade magna cum laude is issued,
  • for very good works cum laude,
  • for good, but lesser works rite.

The grade is issued by the majority of votes of the members of the Commission for the presentation of the doctoral thesis. After the completion of the presentation, the Commission signs the minutes that are pre-prepared by the president of the Commission (OB-83/0)
The candidate is obliged to deliver to the student service the hard-bound copies of the doctoral thesis for each member of the Commission and the mentor, 1 copy for the University of Zagreb, 1 copy for the National and University Library, 1 copy for the Library of the Faculty of Textile Technology. Each hard-bound copy of the doctoral thesis must contain the electronic form on a CD.
